Privacy Policy

1. Data controller

The controller of your personal data is BusinessONai Rafał Bieńkowski, ul. Piwnika Ponurego 5/33, 19-300 Ełk, Poland, a sole trader registered in the Polish Central Register of Business Activity (CEIDG), tax ID (NIP): 6482744959, REGON: 545531907 ("businessONai", "we"). Contact for all data protection matters: support@businessonai.eu.

2. What data we collect and where it comes from

Free diagnosis form (the only place we ask for data): full name, company name, email address, optionally a phone number, and your choice of the area that consumes most of your time.

Technical data: the server keeps standard logs (including IP addresses), used solely for security and abuse prevention (submission rate limiting per address).

3. Purpose and legal basis

We process form data to respond to your inquiry and schedule the free diagnosis, and subsequently — if you decide to work with us — to deliver that cooperation. The legal bases are steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in handling correspondence and securing the service (Art. 6(1)(f) GDPR). Providing data is voluntary, but without it we cannot schedule the diagnosis.

4. Who we share data with

Form data goes to our internal request-handling system (self-hosted, processed on servers within the European Union) and to our email inbox. We do not sell data and do not share it with third parties for marketing purposes. Infrastructure providers (hosting) operate under GDPR-compliant data processing agreements.

5. Cookies and analytics

This site does not use analytics or marketing cookies and contains no third-party trackers. We only use technical mechanisms necessary for the site to function: a single technical cookie, NEXT_LOCALE, which remembers your language choice. It does not require consent, as the site could not respect your choice without it.

6. How long we keep data

We keep form data for as long as needed to handle your inquiry and any discussions about cooperation, no longer than 24 months from the last contact — unless we start working together, in which case data is processed for the duration of the cooperation and any statutory retention periods (e.g. tax law). Technical logs rotate automatically.

7. Your rights

You have the right to: access your data, rectify it, erase it, restrict processing, data portability, and object to processing based on legitimate interest. An email to support@businessonai.eu is enough. You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office (uodo.gov.pl).

8. AI and transparency (AI Act, Art. 50)

The chatbots and automations we deploy — including in our own company — always clearly disclose that you are talking to AI. Key decisions concerning your data and correspondence are approved by a human (human-in-the-loop).

9. Changes to this policy

We may update this policy (e.g. after a change of legal form or providers). The current version is always available at this address.
